About the Role:
As People Operations Officer, you will be responsible for driving operational excellence across the full employee lifecycle - from onboarding to offboarding - ensuring every step is smooth, compliant, and well-documented. You will handle all employment documentation, coordinate with local authorities, support visa and work permit processes, and step in across the People team when needed (e.g. employee experience and engagement initiatives). This is a strong, core operational role at the heart of the People function.
Reporting Line: Chief People Officer
Key Responsibilities:
- Coordinate and manage the entire employee lifecycle, including onboarding, contract preparation, internal moves, title changes, promotions, transfers, exits, and offboarding documentation
- Maintain and update all employee documentation in line with company policies and local legal requirements
- Draft, organize, and distribute People-related communications, such as memos, templates, internal announcements, and notices
- Support the continuous update and development of all People templates and processes
- Prepare, update, and monitor various employment-related agreements, ensuring timely renewals and compliance
- Manage addendums, probation confirmations, secondments, and other employment contract variations
- Collaborate with legal when required to ensure full compliance and alignment with internal frameworks
- Ensure accurate input and maintenance of employee data in the HRIS and other relevant systems
- Act as a super-user or administrator for internal People platforms. Generate, review, and submit accurate reports on workforce data and People metrics
- Collect, maintain, and analyze People data to support informed decision-making
- Provide regular reports and workforce insights to support business planning. Ensure organizational charts are kept up to date and reflect the latest structure
- Coordinate visa applications, renewals, and work permit processes for local and international employees
- Liaise with immigration advisors, consultants, and employees to ensure smooth handling of all visa-related matters
- Keep track of visa expiry dates and take proactive steps to ensure compliance
- Communicate with local labor authorities, social insurance, tax departments, and other relevant bodies to support employee-related matters
- Ensure full compliance with labor law requirements, including registrations, de-registrations, and document submissions
- Monitor changes in employment law and advise the People team on necessary policy or process updates
- Support internal and external audits, ensuring employee records and documentation are audit-ready
- Provide accurate monthly input to Payroll based on employee lifecycle updates (new hires, exits, changes, etc.)
- Ensure payroll-related documentation aligns with internal approvals and employment agreements
- Step in to support the wider People team on projects such as employee engagement initiatives, events, or experience improvements
- Help coordinate cross-functional onboarding logistics (equipment, systems access, seating, etc.)
- Identify gaps or inefficiencies in People Operations processes and propose solutions
- Help build a stronger, more efficient, and employee-friendly People infrastructure
- Act as a reliable point of contact for employees regarding People-related questions, providing guidance on policies, processes, and documentation
- Maintain secure, well-organized employee records in accordance with GDPR and internal protocols
What we're looking for:
- 2+ years of hands-on experience in People Operations, preferably in a fast-paced or regulated company
- Solid understanding of employment law and proven experience managing documentation, contracts, and compliance
- Confident handling external communications with authorities and ensuring legal processes are followed
- Skilled in using HRIS platforms and maintaining accurate, secure employee data
- Highly organized, process-driven, and obsessed with getting things right the first time
- Proactive and independent, able to step in and support a wide range of People initiatives without waiting to be asked
- Clear, direct communicator (both written and verbal) with a bias toward clarity and execution
- Able to handle competing deadlines, shifting priorities, and unexpected requests without losing focus or quality
