TASKS
1. Calendar Management
• Scheduling Meetings: Coordinate internal and external meetings.
• Organizing Appointments: Arrange appointments with clients, partners, or other stakeholders, ensuring proper follow-up and confirmation.
• Time Management: Monitor and optimize the executive’s schedule to avoid conflicts, ensure enough preparation time, and maintain work-life balance.
2. Email & Communication Management
• Email Screening: Filter and prioritize incoming emails to identify urgent matters.
• Drafting Responses: Compose emails, letters, and other correspondence as needed.
• Follow-Ups: Track pending items and follow up with relevant people on behalf of the executive.
3. Project & Task Coordination
• Task Management: Keep track of the executive’s tasks and deadlines, ensuring nothing falls through the cracks.
• Project Assistance: Support project management activities, including coordinating with teams, scheduling milestones, and maintaining project documentation.
• Status Updates: Regularly update the executive on project progress or delays.
4. Document Management & Filing
• File Organization: organize both digital and physical files for easy access.
• Document Preparation: Prepare reports, presentations, and other materials.
• Confidentiality: Handle sensitive information with discretion, especially HR or financial documents.
5. Finance & Expense Management
• Expense Reports: Prepare and submit expense reports, tracking receipts and financial documentation.
• Invoice Processing: Track and process invoices and payments for vendors, clients, and team members.
8. Research & Analysis
• Market Research/Social media: Conduct research on industry trends, competitors etc.
