Our client is a well established Corporate Services Provider offering a full range of business, and compliance solutions to local and international clients. The company is seeking to hire a Corporate Administrator to join its growing team.
The Corporate Administrator will be responsible for providing top-quality corporate secretarial, governance, compliance, and administrative support to a portfolio of both local and international client companies. The position includes maintaining statutory records, preparing and submitting necessary documentation to the Registrar of Companies and Intellectual Property in Cyprus, communicating with clients, banks, and regulatory authorities, and ensuring that all corporate and regulatory requirements are fulfilled accurately and on time.

Responsibilities
- Handle incorporation and registration of Cyprus companies (and possibly other jurisdictions) including preparation of registration documents, submission to the Registrar, issuance of share certificates, instruments of transfer, company registers, etc.
- Maintain and update statutory registers for directors, shareholders, beneficial owners (UBO), branch offices, and other required registers.
- Prepare corporate secretarial documentation such as board resolutions, shareholder resolutions, minutes of meetings, incumbency certificates, powers of attorney, and ensure execution and certification where required.
- Manage the filing and submission of annual returns, notifications of changes (e.g., director/shareholder changes), and other forms required by the Registrar of Companies.
- Support bank account opening processes for companies/trusts: prepare bank forms, liaise with banks, assist with KYC/AML checks.
- Liaise with clients (local and international), external agents, regulatory bodies, auditors, legal counsel and banks to coordinate required actions and documentation.
- Assist with due diligence / KYC / AML compliance processes: reviewing documentation, monitoring ongoing obligations, updating client files
- Maintain internal databases, filing systems, client records, certificates and legal documentation in an organised manner.
- Provide general administrative support for the corporate services team: scheduling client meetings, handling correspondence, acting as first point of contact, preparing reports.
- Stay updated with relevant Cyprus company law, regulatory changes (including AML/CTF, beneficial ownership, CRS/FATCA) and ensure processes are compliant.
- Support the continuous improvement of corporate service workflows, propose improvements and assist with implementation.
Requirements
- Bachelor’s degree in Business Administration, or a related field (or equivalent experience) is preferred.
- Minimum of 2-4 years of relevant experience in corporate/secretarial services, preferably within a corporate services firm, law firm or fiduciary services provider in Cyprus.
- Fluency in English and Greek (both written and spoken). Additional languages (e.g., Russian, Polish) would be an advantage.
- Strong knowledge of Cyprus company law procedures, the Registrar of Companies system, and statutory filings.
- Excellent organisational, administrative, communication and interpersonal skills. Ability to multi-task, meet deadlines and pay attention to detailed documentation.
- Good computer literacy: MS Office (Word, Excel, Outlook), database/file management. Comfortable with electronic filings and document management.
- High integrity, reliability, confidentiality, and a proactive, client-service mindset.
- Ability to work both independently and as part of a team, under supervision of senior management.
