Position: Personal Assistant & Administrative Officer
Location: Paphos
On behalf of our client, we are looking for a highly organised and proactive Personal Assistant & Administrative Officer to provide executive support while ensuring the smooth day-to-day operation of the office. This role is ideal for someone who enjoys working in a fast-paced environment, can manage multiple priorities efficiently, and has excellent organisational and communication skills.
Key Responsibilities
- Welcome clients, visitors, and business partners in a professional and friendly manner.
- Handle incoming calls, emails, and general enquiries, directing them to the appropriate person or department.
- Manage and distribute incoming correspondence while supporting internal communication across the business.
- Assist employees with day-to-day administrative requests and office-related matters.
- Coordinate the executive's calendar, including meetings, appointments, travel arrangements, and schedule updates.
- Maintain company calendars and ensure efficient planning of daily activities.
- Organise company events, meetings, conferences, seminars, training sessions, and other corporate activities.
- Liaise with external suppliers, service providers, and business partners whenever required.
- Maintain accurate company databases, records, and administrative documentation.
- Establish and manage an organised filing system to ensure documents are easily accessible.
- Support document administration and assist with finance-related records while maintaining confidentiality and accuracy.
- Prepare expense summaries, office budget reports, presentations, and business documents as required.
- Monitor office supplies and coordinate purchasing to ensure smooth office operations.
- Provide additional administrative support to the executive team and management whenever necessary.
Requirements
- Previous experience in a Personal Assistant, Administrative Officer, Office Administrator, Executive Assistant, or similar administrative role.
- Strong computer literacy, including Google Workspace (Docs, Sheets, Slides) and other Microsoft Office applications.
- Excellent organisational, multitasking, and time management skills.
- Strong communication skills with exceptional attention to detail.
- Ability to prioritise tasks, solve problems proactively, and work independently.
- Excellent command of the English language, both written and spoken. Knowledge of additional languages will be considered an advantage.
