Responsibilities
1. Financial and Analytical Responsibilities – Approximately 40%
Oversee the company’s daily accounting and bookkeeping activities.
- Prepare and submit VAT returns accurately and within the required deadlines.
- Maintain accurate financial records and ensure that all relevant systems remain up to date.
- Review and analyse financial and operational information.
- Prepare reports that provide useful insights into company and project performance.
- Monitor project working hours, costs, and associated financial data.
- Compare employee timesheets with the hours assigned to each project and identify any discrepancies or possible overruns.
2. Planning and Team Coordination – Approximately 20%
Maintain and regularly update the company’s operational and project-planning systems.
- Monitor team workload, performance, deadlines, and overall progress.
- Coordinate priorities and follow up with team members regarding outstanding tasks.
- Assist with resource planning across different projects.
- Prepare regular operational reports and updates for the CEO.
- Identify and report delays, risks, and matters requiring management attention.
3. Project and Technical Administration – Approximately 20%
Prepare and submit application packages and other required documentation through the relevant government or professional portals.
- Track submissions and follow up with the appropriate authorities by telephone, email, and, where necessary, in person or on-site.
- Follow up with suppliers regarding quotations, material orders, deliveries, and any outstanding matters.
- Maintain accurate records relating to submissions, approvals, correspondence, and deadlines.
- Provide administrative support to the project team in relation to project requirements.
4. General Administrative Support – Approximately 20%
Handle telephone calls, correspondence, meetings, and daily office requirements.
- Welcome visitors and assist with meeting arrangements and refreshments.
- Prepare professional letters, emails, reports, and other office documentation.
- Organise and maintain company records and filing systems.
- Provide practical administrative assistance to the CEO and the wider team when required.
The distribution of responsibilities may change depending on the company’s priorities and workload.
Requirements
- Expert knowledge of accounting and bookkeeping practices.
- Extensive expertise in the preparation and submission of VAT returns.
- Fluency in both Greek and English, both written and spoken.
- Advanced proficiency in Microsoft Excel.
- Excellent knowledge of Microsoft Office applications, particularly Word, Outlook, and PowerPoint.
- Strong analytical and reporting skills.
- Excellent organisational, planning, and time-management abilities.
- Ability to work independently, take responsibility for tasks, and manage multiple priorities effectively.
- Strong attention to detail and a high degree of accuracy.
- Professional communication and interpersonal skills.
- Ability to manage confidential financial and company information with discretion and responsibility.
Preferred Experience
Previous experience in operations management, finance, accounting, or office management.
- Familiarity with project planning, timesheets, cost monitoring, supplier coordination, and submissions to relevant authorities.
- Previous experience working directly with senior management or a CEO.
