On behalf of our client, a well-established and growing company based in Marousi, Athens, we are seeking to recruit a highly organized, responsible, and proactive Administrative & Operations Assistant to join their team on a full-time basis.
This is a key role in the smooth day-to-day operation of the office. The successful candidate will work closely with management, coordinate daily administrative and operational activities, monitor pending matters and deadlines, and ensure that important processes are completed accurately and on time.

Role Overview
The Administrative & Operations Assistant will provide hands-on administrative and operational support across the company's daily activities.
A significant part of the role involves dealing with public authorities and administrative procedures, working with ERGANI II, monitoring employment-related records and the Digital Work Card, organizing expense documentation, and following up on operational tasks.
The successful candidate will work directly with management and will be expected to demonstrate reliability, discretion, initiative, attention to detail, and strong organizational ability.
Key Responsibilities
• Handle administrative procedures, applications, and transactions with public authorities and government services
• Use and manage relevant processes through the ERGANI II Information System
• Support the accurate management of employment-related administrative procedures
• Monitor and organize information relating to the Digital Work Card, working schedules, working hours, and relevant system entries
• Coordinate the daily administrative and operational activities of the office
• Monitor outstanding tasks, deadlines, and pending matters and ensure appropriate follow-up
• Coordinate required actions with management and other relevant parties
• Record, organize, categorize, and prepare expense documentation and supporting receipts/invoices for submission to the accounting department
• Maintain accurate and well-organized administrative records and files
• Assist with documentation, data entry, records management, and general office administration
• Follow up on assigned operational matters and provide timely updates to management
• Liaise with external partners, authorities, accountants, or other professionals when required
• Identify and resolve practical day-to-day administrative and operational issues
• Provide direct administrative and operational support to management
• Support the overall smooth and efficient daily operation of the office
• Undertake additional administrative or operational responsibilities as required
Requirements
• Previous experience in an Administrative, Operations, Office Administration, HR Administration, or similar role will be considered an advantage
• Practical knowledge and experience with the ERGANI II Information System
• Understanding of administrative procedures relating to employment records, working schedules, and the Digital Work Card
• Experience dealing with public authorities and administrative procedures will be considered highly valuable
• Excellent command of English, both written and spoken
• Very good computer literacy and confident use of standard office applications
• Very good knowledge of Microsoft Office
• Strong organizational and time-management skills
• Ability to manage several tasks, deadlines, and pending matters simultaneously
• Strong attention to detail and accuracy
• Ability to maintain organized records and documentation
• High level of responsibility, reliability, and consistency
• Professional attitude and strong sense of confidentiality
